Administrative Assistant
ADMINISTRATIVE ASSISTANT
Reporting to the Director of Operations, the Administrative Assistant will be responsible for ensuring the execution and follow-up of all administrative tasks related to construction projects. He/She will act as an effective intermediary between various internal stakeholders (project managers, foremen, etc.) and external stakeholders (clients, subcontractors, etc.).
More specifically, the Administrative Assistant will be expected to:

Learn and carry out the company’s administrative procedures during project execution;

Complete pre-established administrative forms and ensure project follow-up;

Open projects within our various work systems;
-
Make the required follow-up phone calls related to the position’s tasks;

Keep project and client records up to date and make necessary modifications;

Update and maintain our different tools and work systems;
-
Ensure the monitoring and compliance of accounts payable and receivable;
-
Enter all required information into the accounting systems;
-
Process supplier payments;
-
Follow up on waivers and contract notices;
-
Develop and maintain professional relationships with all stakeholders;

Be an ambassador of the RIOUX brand and all its divisions;

Perform any other related tasks.
Your experience and skills include:

Diploma of Vocational Studies (DVS) in secretarial studies, accounting, or equivalent training;

Minimum of 2 years’ experience in a similar role;

Knowledge of the construction industry (an asset);
-
Ability to work on multiple projects simultaneously;
-
Professional attitude and behavior (autonomy, integrity, and confidence);
-
Strong organizational and initiative skills;
-
Ability to manage stress, adapt, and make decisions;
-
Strong communication skills (written and oral) in French and English (an asset);
-
Proficiency with Microsoft Office 365.

Employment conditions:

Full-time position (40 hours/week), Monday to Friday.
